Background

When the client initially contacted DSI, they had no measures to monitor and verify the eligibility of the 3,224 dependents in their benefits pool uniformly and thoroughly.

At an average of 2.037 (national average 2.2) dependents per employee and an average cost of $5,556 per year, they knew they needed some help moving forward if they were going to save money.

Further, the district knew they needed to strengthen their plan and legal compliance in addition to an initial focus on cost savings.

It was clear they needed help fast; luckily, DSI was up to the task.

Process

DSI immediately went to work crafting an effective outreach strategy for over 1,600 employees that would yield the results the district desperately needed. This strategy included hand-stamped (not metered) letters sent to every employee’s home, personalized email messages sent regularly, phone calls to employees, internal reminders, and even an advanced yet easy-to-navigate web portal. DSI provided everything the district would need for a successful verification project.

Early in the process, the district had had a few internal security concerns related to employee data. DSI’s head of IT reassured them that their organization’s private info was safe. (DSI goes above and beyond HIPAA requirements and works hard to ensure financial and social security information remains redacted, all to make sure employee data remains safe and secure.) Like many clients, the school district appreciated the extra lengths DSI takes with data security.

Results

Through DSI’s outreach efforts, the district achieved a 94.98% participation rate on the project. Responses quickly poured in through all DSI’s available channels, including over 200 phone calls made to the employee support line. Without DSI, these calls would have crippled the district’s Human Resources department with all the questions their employees needed answering.

Ultimately, DSI found that 6.07% of dependents were ineligible, weighing down the school district by over $1 million in annual benefits costs.
